Committee Position Descriptions
President
This position sits on the Executive Committee and has responsibilities under the Constitution including overseeing the running of the club, chair Committee Meetings & delegate responsibilities as necessary. Ensure the Club is run in accordance with club policies and regulations including the Constitution. Key Duties:- ( short description of key duties performed ) 1. Chair the Committee. 2. Instigate key dates for the season and meetings. 3. Primary contact for Parents throughout the season. 4. Oversee planning of club events such as registration, school clinics, wind up etc. 5. Liaise with other clubs, corporate bodies e.g. COA
Vice President
Assist the President in the day to day running of the club on all areas. Guidance with other Executive Committee on major decisions to do with day to running of the club. Senior Contact & Guidance role in the club, point of contact. Key Duties:- ( short description of key duties performed ) 1. 2nd point of contact if President is not available 2. Commercial responsibility for expenditure and profitability of the club & Signature Authority for Cheques. 3. Assist with the running Committee & General Meetings. 4. Recruitment and Succession planning for future years of club. 5. Assist Registrar, Secretary and Treasurer with any issues that arise. 6. Other General issues that arise that require focus.
Registrar
This position sits on the Executive Committee and has responsibilities under the Constitution including the organising and maintaining the personal details of the members, organising of the teams and providing details of players to other affiliated bodies in order that they may compete in competitions outside of the club. Key Duties:- ( short description of key duties performed ) 1. Collecting and collating player registrations. 2. Organisation of teams. 3. Working with the Treasurer on the payment of fees. 4. Other duties under the Constitution. 5. Member of the Executive Committee.
Secretary
This position sits on the Executive Committee and has responsibilities under the Constitution including the organising of the Committee Meetings, taking of and distributing the minutes and the setting of the Agenda. This position is usually the first point of contact for correspondence in and out. Other communication may also fall under this role. Key Duties:- ( short description of key duties performed ) 1. Setting dates and maintaining dates for Committee Meetings 2. Taking & Distribution of Minutes from the meetings. 3. Managing of correspondence in and out. 4. Other duties under the Constitution. 5. Member of the Executive Committee.
Treasurer
To maintain record of all receipts and payments. Key Duties:- 1. Receipt any income i.e fees, sponsorship. 2. Payment of Accounts. 3. Keep record of income of expenditure. 4. Pay money into bank account. 5. Bank Reconciliation for Committee. Meeting held each month. 6. End of year report. 7. Record games played for players Milestone Tally
TBAWA Delegate
1st point of contact to TBAWA from RTBC. Communication point of contact for both parties. Monitor and advise on rules & regulations and any suggested changes. Key Duties:- ( short description of key duties performed ) 1. Represent RTBC to the highest standard at all times. 2. Attend TBAWA meetings (usually last Wed each month 8pm, Woodlands) and provide feedback and information from the meetings to RTBC committee. 3. Act in the best interest of RTBC for issues that may impact the way that RTBC operates. 4. Vote on behalf of your club 5. Collect and return handouts eg. Annual affiliation forms, carnival forms, nominations forms for state teams and super squad, selection and allocation of players.
Coaches Co-ordinator
Assist Executive Committee with recruitment of new coaches, training and guidance. Assist the Coaches in the any issues that may arise. 1st point of contact for all coaches for planning and correspondence. Key Duties:- ( short description of key duties performed ) 1. Attend matches and overview. 2. Assist coaches to gain accreditation. 3. Monitor player and coach progress and behaviour. 4. Feedback from committee meetings and TBAWA meeting. 5. Planning with States Coach to co-ordinator for Summer Carnivals.
Umpires Co-ordinator
This position looks to manage the requirement of umpires for fixtures throughout the season. To this, the person also needs to introduce more people to becoming an umpire and assisting with the umpiring of games. Assisting with accreditation of umpires Key Duties:- ( short description of key duties performed ) 1. Accreditation of umpires. (Booking attendance courses). 2. Manage the requirement of umpires for fixtures throughout the season. 3. Coach and development of umpires. 4. Introduce additional umpires through parent participation.
Uniform Co-ordinator
This position is responsible for the ordering and distribution of uniforms for all teams (tee ball, states & baseball) prior to the beginning of the first game. You will need to arrange any repair work that may need to be done to any uniform. Key Duties:- ( short description of key duties performed ) 1. Ordering of new uniforms, when up for renewing... 2. Sorting and distribution of uniforms for each team...(organise people to help with this.) 3. Repairs to pants, or seek persons who maybe able to help with repairs... 4. Have extra stock on hand for additional purchase's of socks, caps & club shirts... 5. Collecting of uniforms at end of season... 6. Sort and store for following season...
Canteen Manager
Keeping canteen stocked to ensure the canteen runs smoothly. Key Duties:- 1. Purchase stock. 2. Organise volunteers from each team to manage canteen on their game days. 3. Collecting takings and passing onto treasurer.
Grounds Co-ordinator
To attend committee meetings and inform committee of ground conditions and any requirements to maintain a safe playing surface. Prepare grounds for Tee Ball and Baseball teams prior to seasons starting. Maintain grounds during playing season and before hand over to football club. Key Duties:- ( short description of key duties performed ) 1. Position diamonds and mark prior to season starting. 2. Maintain lines for diamonds. 3. Maintain a safe playing surface. 4. Prepare batting circle prior to season starting. 5. Maintain batting circle during season. 6. Maintain grass height on baseball diamond. 7. Ensure grounds are safe before hand over to football club.
Sponsorship Manager
To seek and renew new and existing sponsorship opportunities. No sponsorship should be taken for granted so every effort should be made to promote our sponsors as much as possible. Key Duties:- ( short description of key duties performed ) 1. Contact current sponsors re renewal. 2. Seek new sponsors where applicable. 3. Invite / host sponsors to attend key club functions e.g wind up. 4. Organise sponsors board.
Publicity Manager
Organise the publicity of the club through various mediums including newsletters, local press and other publications, where applicable. Key Duties:- ( short description of key duties performed ) 1. Organise street signs for registration days. 2. Produce approx 2-3 newsletters. 3. Prepare various articles for local press.
Grants Manager
This role seeks and makes applications on behalf of the club for government grants which are able to increase our revenue and allow us to purchase necessary items for the club. Key Duties:- ( short description of key duties performed ) 1. Monitor web sites for grant opportunities. 2. Make application for grants where applicable. Follow up on applications. 3. Follow through on successful grant opportunities to ensure we meet all requirements or specifications according to the grant.
Property Manager
Manage and maintain club equipment and ensure teams have adequate equipment to use for their team. Key Duties:- ( short description of key duties performed ) 1. Sort out kit bags 2. Manage key register 3. Purchase replacement equipment, when required 4. collect and sort kit bags at the end of the season
Trophies/Photo's
Key Duties:- ( short description of key duties performed ) 1. Order Tee-Ball/Little league trophies (all kids) 2. Order Baseball Trophies (4 per Team) 3. Order all other club trophies, badges etc. 4. Make all arrangements for annual team photo's
Fundraising
Key Duties:- ( short description of key duties performed ) 1. Coordinating the raffles though out the season 2. Ordering and dispersing of Cadbury chocolate boxes 3. Collecting money for chocolate boxes 4. BBQ at Bunnings/Mazzegas if you have the help 5. There is a file for fundraising
Web Maintenance
Updating of the Roleystone Tee-Ball and Baseball web site Key Duties:- ( short description of key duties performed ) 1. Adding & maintaining information on the website, as required.
